March 2021 Club Meeting Minutes

WFCCC March 17, 2021 Meeting Minutes Officers present: Eric Heflin, Rich Sankovich, Steve Hunt

1. Meeting opened with prayer led by Eric Heflin 2. Secretaries report – Minutes of October 6, 2020 read and approved by membership. 3. Treasurers Report: Feb. 1, 2021 Checking account balance was $53,423, month ending balance was $47,759. Land Loan payment was $1994, Tractor loan payment was $384, Envelopes and mailing labels was $1022, and all utility bills paid. Club CD balance is at $502, Scholarship CD balance is $16,808 and Land Loan balance for Shenandoah Co. 97 acre parcel is $9,247. Membership approved Treasurers report. 4. Land use forms for forested land submitted to Shenandoah Co. and expect taxes to be reduced from $2500+/- to less than $500 yearly. 5. Trac phones now in use for emergencies located at shooting range and old club house is saving club $1200 yearly that was being paid for the Verizon Phone that seemed to work half of the time. Thanks to Steve Hunt! 6. Land Grant – Wonders of Wildlife $500 grant money received for club use for fish stocking due to Kirk Gordon’s submission for club. Thanks Kirk! 7. Jeff Feltner turned in $2266 from Winter still target shoots and Eric Heflin turned in $550 from shelter use. Thanks Jeff and Eric for managing both! 8. Mike Collins to start Thursday night trap shooting in April, but is awaiting availability of Clay Bird supply as well as 12 gauge shotgun shells used to support. The shotgun shells are getting tough to find in quantity at this point. Membership authorized Mike to spend up to $3000 to purchase both Claybirds and Shotgun shells for resale at matches to support these events. 9. Discussion about current scholarship fund CD total amount and continuation of club support annually paying for the costs of raffle ticket printing and the prizes given away at $1200 to $1300 yearly. Suggestion made to have the scholarship be again self supporting via ticket sales and donations to cover expenses as well as take excess money from scholarship CD and place in a guaranteed fund that would give 2.7 to 3.1% interest annually over the 0.25% from the bank CD the money currently resides in. Discussion to continue at future meeting(s). 10. Scholarship Raffle prizes discussed and decided to keep same amounts and prizes for the 2021 raffle drawing. 11. Trout stocking noted for 3/13/21 @300 each, 4/1/21 @400 each and 4/30/21 at 300 each. Fall stocking of 300 trout TBD at later date. Lake is closed from Sunday March 28 to April 3rd, 2021 at opening at 12:30pm for kids 12 and under and all others at 1:30pm. Easter EGG hunt will start at 3 pm for 3 age groups of children 12 and under. Announcement of Easter Saturday Trout Rodeo and Easter Egg Hunt to be published in Club News in Winchester Star. Members alerted that price of stocked trout for 300 was $996 delivered with tax to the club last week and the club will spend Close to $4400 this year on trout stocking. 12. Members re-alerted that the cost for dues is going up for the Year 2022 members. The over age 65 dues renewal after June 15, 2021 will be $35, and age 18 to under age 65 dues renewal will be $65 after June 15th, 2021. The new member cost for Dues/Joining the Club will remain at $100 for 2022 membership year. 13. Eric addressed members at meeting with the news of the passing of Jackie Roberts, long term Board of Director member of club. Vote taken and approved to honor Jackie by having his name added to the Honor Roll Plaque at club for his outstanding service to the club over the years. 14. Club member workday set for August 21, 2021, starting at 9 am and ending at 2 pm. This will involved buildings and grounds cleanup, weed-whacking, target building, and possibly some picnic table building or kit assembly as several of our tables have somewhat disintegrated. Food & Drink will be served and Menu will be discussed prior to workday. 15. Quote to re-survey the 460 acre main club property boundary edges off of Siler Road obtained. Instruction was to quote the survey and re-marking all sides of land on 250-300 foot centers. Quote received was $16,000. 16. Annual Club membership/family picnic discussed and approved to schedule for Sunday September 5th, 2021. Jordan Springs Market being checked with for availability to cater. Food to be served, not buffet! Cost to be $8 per person with children under 8 years of age free. Eric checking on Jordan Springs availability and cost per meal to Club. Menu to be the same as in past with the Mac-N-Cheese addition – 225 meals to be ordered. 17. Current membership for 2021 since June 15th, 2020 enrollment start is 1383 members with $83,520 in dues collected. 2021 membership period will end on May15, 2021 and re-open for Renewals and New members on June 15, 2021. 18. Mac Tlumach Conservation Scholarship Applications are due to Club by Friday, April 16, 2021 and will be reviewed by committee at April 21st, 2021 Club meeting. Winchester Star has been publishing this in Club News section of paper since first week in January 2021 at no charge to Club. 19. Discussion that firewood will be needed for next winters club house to be used during Winter Still target shoots. Also discussed was in lieu of fire wood, stove and flue maintenance, that replacing of electrical controls and addition of an in line electrical duct heater might be a better option. This will be pursued via our HVAC specialist upon his return. 20. Scholarship 50-50 raffle - $36 to Club and $37 to winner – Winner donated $30 back to scholarship. 21. Meeting adjourned. 22. Note: A quote needs to be obtained for electrical upgrade and repair of our lake shelter Electrical panels and interior ceiling. 23. Note: A quote needs to be obtained from inspection and repairs needed to structure and or roof and guttering at main large outdoor shelter.
